Thank you for the opportunity to help shape the next stage of your safety system. This proposal sets out how we'll move from today's tools and spreadsheets toward a single Safety Management Hub for Sadleirs, bringing together risk assessments, dashboards, incident management, process deployment, and contractor and supplier management over time.

Stage 1 focuses on strong foundations plus one high-value module: risk assessments and a practical risk dashboard. Our aim is to give you an early, tangible win that fits how Sadleirs operates today, while laying down patterns and architecture we can confidently build on in later stages — including an AI-enabled safety assistant.

Current state

The problem we are seeking to fix.

Sadleirs' safety system today is spread across spreadsheets, documents and disconnected tools. The result is a system that exists on paper but is hard to live in — invisible to leaders, painful for end users, and slow to deploy across the business.

Today's pain points

A safety system that is fragmented, not lived.

Across the business, the same information lives in different places, in different formats, owned by different people. This makes safety slow to navigate, hard to deploy, and largely invisible to leadership in real time. Stage 1 is designed to start fixing these specific issues — directly and visibly.

Fragmented systems

Risk, incidents, documents, training and contractor information live in separate spreadsheets, shared drives and standalone tools — with no central source of truth.

Poor usability for end users

Frontline workers and supervisors face clunky forms, duplicated data entry and tools that don't reflect how work actually happens — so adoption stays low and quality suffers.

Difficulty deploying systems

New policies, SOPs and forms are slow to roll out across sites and roles. Updates get lost in inboxes; older versions stay in use; acknowledgement is hard to evidence.

Limited visibility for leaders

Sadleirs' leadership team cannot see live risk, action close-out or compliance status without manual collation — making proactive decisions difficult.

Audit & regulator readiness

Pulling together evidence for ONRSR, internal audits or critical control verification takes days, not minutes — and the trail isn't always complete.

No clear path to AI

Without consolidated, structured data, useful AI capability — summarisation, search, suggested controls — cannot be added later without rebuilding from scratch.

Each of these is addressed directly by Stage 1's foundations or the Module 1 Risk build — and the rest are sequenced into Modules 2 through 6 on the roadmap.

The Opposite

The future state is a one-stop shop for safety at Sadleirs — a single web-based hub (mobile-friendly) where leaders and teams can see, manage and improve safety across every operation. Early in Stage 1, we make this concrete.

A tangible picture in Stage 1.

Early in Stage 1, we will create a simple visual concept of the Safety Management Hub using Sadleirs' structure and colour palette — based on the building blocks already captured in your SMS spreadsheet.

This will be a visual map of the future modules, showing the overall hub layout (Risk, Events, Processes, Contractors, Reporting), an example risk dashboard with the priority views Sadleirs' leadership and operational teams need, and how a user might move from a dashboard tile into a specific risk, incident, or contractor record.

This will give Sadleirs' leadership team a concrete sense of where the investment leads, not just how we'll get there.

Our method · Phased delivery

Design-led, workflow-first.

We will design around Sadleirs' real work before we build. Each phase will have a clear outcome before the next begins — so you will always know what you're getting, and when. Stage 1 will run across four phases over roughly 22 weeks.

12–24 month roadmap

From Stage 1 to an AI-enabled safety system.

To help with medium-term investment decisions, here is how we see the journey over the next 12–24 months. Stage 1 (this proposal) sits at the top. Each module below will build on the foundations we will lay now — without rebuilds.

The AI layer

When the time is right.

The architecture we put in place will support an AI layer that can answer "what is our current risk profile for X operation/site?" in plain language, summarise incidents and actions for leader-ready briefs, suggest relevant SOPs and controls when a new risk is logged, and help author and refine risk assessments based on your own content. We won't build this in Stage 1 — but we will design Stage 1 so that it can be added without rebuilding the core.
